Which data categories do we use and where do they come from?

As part of the application process, we process the following personal data:

  • Your master data (such as first name, last name, name suffixes, date of birth)
  • Contact details (e.g. private address, (mobile) telephone number, e-mail address),
  • if applicable, work permit / residence permit
  • if relevant for the advertised position: health suitability
  • further data from the application documents you have made available to us (e.g. curriculum vitae, school and job references, course and training documents, etc.).

Your personal data is generally collected directly from you as part of the recruitment process, in particular from the application documents, the job interview and the personnel questionnaire.

If we should obtain information about you from third parties (e.g. from previous employers), we will inform you in advance. However, we will only obtain information from third parties if a specific job offer has been made to you.

For what purposes and on what legal basis is data processed?

We process your personal data in compliance with the provisions of the General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG) and all other relevant laws (e.g. BetrVG, AGG etc.).

The primary purpose of data processing is to carry out and process the application process and to assess the extent to which you are suitable for the job in question. The processing of your applicant data is necessary in order to be able to decide on the establishment of an employment relationship. The primary legal basis for this is Art. 6 para. 1 lit. b) DSGVO i.V.m. § 26 Abs. 1 BDSG. If necessary, your separate consent acc. Art. 6 Abs. 1 lit. a), 7 GDPR in conjunction with Section 26 Para. 2 BDSG can be used as a data protection permit.

If necessary, we also process your data on the basis of Art. 6 para. 1 lit. f) GDPR to protect our legitimate interests or those of third parties (e.g. authorities).

Insofar as we create statistics, this is done exclusively for our own purposes and in no case personalized, but anonymously.

The processing of special categories of personal data (e.g. health data) is based on your consent in accordance with Art. 9 Para. 2 lit. a GDPR in conjunction with Section 26 Para. 2 BDSG, unless statutory permissions such as Art. 9 para. 2 lit. b in conjunction with § 26 para. 3 BDSG are relevant. Your application data will be treated confidentially at all times.

If we want to process your personal data for a purpose not mentioned above, we will inform you beforehand.

Who gets your data?

Within our company, only those persons and departments (e.g. management, HR department) who need them for the hiring decision and to fulfill our pre-contractual and legal obligations receive your personal data.

If we are unable to offer you a vacant position, but based on your profile we believe that your application could be of interest for future job offers within our company, we will transmit your personal application data to this position, provided that you have given us your express permission to do so to have.

In addition, we can transmit your personal data to other recipients outside the company, insofar as this is necessary to establish the employment relationship (e.g. payroll office or similar) and we are legally obliged to do so.

How long will your applicant data be stored?

If you are hired, we will transfer your application documents to your personnel file.

If no employment relationship is established, we will delete your personal data no later than six months after completion of the application process. This does not apply if legal provisions prevent deletion or if further storage is required for the purpose of providing evidence or if you have consented to longer storage.

If we are unable to offer you a vacant position, but based on your profile we believe that your application might be of interest for future job offers, we will transfer your personal application data to our pool of interested parties for further job advertisements, provided that you have expressly given us your permission to do so to have.

Which data protection rights can you assert as a data subject?

You can request information about the data stored about you at the above address. In addition, under certain conditions, you can correction or the request deletion of your data.
